Event as trainee event manager: Report by Lara

My first event as a trainee at b-ceed

A field report from Lara.

As an event management trainee you have to cope with many responsible tasks. One of them is not only to plan the events, but also to be present on site during the implementation and to ensure that everything runs smoothly. You experience the development from the first offer to the day of the event. The excitement before the first event is enormous. You are there live and of course you also have a responsibility.

Team event "Flap and Action

In the office in the morning the last props for our team event "Make a movie"packed up and stowed in the car. Then, together with a colleague, we set off for my first event during my training as an event manager. Arrived at the customer we were received by our contact person. A short round of introductions, as we only know each other from the phone or from writing emails. There are a lot of props for the video shoot, which we first placed decoratively in the room. Shortly after, the first guests arrived and curiously examined the various accessories. Colorful hats, glasses and wigs and much more. After each of the 20 participants had arrived, I did the briefing for the event. Also handed out the tablet PCs to each group. And already the first ideas bubbled up among the participants. The starting signal for the film shooting in the team. During the event I was available for any kind of questions. At my first event I also had to give suggestions for the film shoot and help with creative blockades. An important part of the event was the evaluation afterwards. A short feedback session after the event was also part of it for me. How was the video shoot received by the participants? After the extremely positive feedback from our client, it was time to pack up all the props again. Since I also had to learn how to manage the project, it was then my turn to say goodbye to the client personally. So the first successful event day of my exciting time as an event management trainee came to an end.

You grow with your tasks

After the first smaller events, I quickly moved on to the bigger events. More tasks and more responsibility. At my next "Klappe und Action" team event as a trainee, there were already 150 participants. After the team event there was a big evening gala. In addition to the usual briefing and implementation of the video shoot, it was now also necessary to communicate with catering and location partners on site and to discuss the further implementation. The stage set for the subsequent award ceremony had to be set up, the red carpet had to be rolled out and the winner statues had to be provided. We also decorated the tables to match the Hollywood night. After the set-up, you look proudly at the location picture that presents itself to you and are amazed at what you can accomplish even as a trainee. After my colleagues and I had changed into our evening clothes, we were ready for the big award ceremony. The curtain was raised and down the red carpet we went straight to the stage. With applause-o-meter the winners of the best films were determined and awarded with winner statues. A complete success and a successful evening with a boisterous mood for customers, organizers and me as an event management trainee.

My experience

Although I was pretty excited before my first own event, I was also really looking forward to the day. I've already learned so much about working as an event manager in the office, so I finally wanted to put what I'd learned into practice on site. I really enjoyed the customer contact at the event and was amazed at the ideas the participants had. Such a creative event with fun and action. I now manage events completely on my own and last Christmas season I also managed a mobile Christmas market at a large customer of ours. I look forward to supervising the events on site every time.
