Mood and atmosphere at company parties - What factors are important?

Mood and atmosphere at company parties - Bright&Epic Europe, b-ceed events

Company parties are often an important highlight in the (working) year for the employees of a company. From their perspective, it is mainly about spending some time away from the office premises with colleagues as well as superiors and thus intensifying existing contacts or making new ones. Fun should therefore be at the forefront when it comes to planning company parties so that they take place in the right atmosphere. After all, the atmosphere is known to be the be-all and end-all when it comes to whether or not they are ultimately remembered positively. It is therefore worth choosing a professional event planning company as a helping hand to take care of all the important details and to draw on a valuable wealth of experience. On the other hand, you should consider the question in advance: What mood or atmosphere do your employees want at your next company party and how can you make it happen? We have the answers:

Legal questions

Before the details can be planned, some basic decisions have to be made. With regard to corporate events, there are also legal framework conditions that need to be taken into account. They depend on the type and location of the event and concern, for example, tax issues or the question of who is invited. From the employer's perspective, it is therefore important to deal with these legal concerns in order to take them into account in the planning phase to avoid costly mistakes. Companies can then benefit from the company party in many ways, for example in terms of staff cohesion or the working atmosphere .

Framework programme

At the beginning of the planning phase, it is therefore necessary to define what kind of event it is and whether it will be held in the inner circle, with the staff only, so to speak, or whether external people such as their families are also invited. This decision depends to a large extent on the goals pursued with the company event. For example, should it be more of a team-building event or more of a classic celebration? It is important to determine a framework programme that fits these goals and make all further decisions based on this. Excursions such as a hike or a meal in a restaurant, for example, are more suitable for small events involving only the staff or even just individual teams. In contrast, company or Christmas parties can also take place on a large scale, such as in an event hall or as an outdoor event. In principle, there are no limits to one's own creativity in this regard, but it is worthwhile to seek professional advice to ensure that the supporting programme ultimately fits the corporate goals and that the company party is a complete success for both sides.

Premises

Once the form of the event and the (approximate) number of guests have been determined, the company or event planning company can start looking for suitable premises. The larger the event, the more aspects need to be considered in this regard, for example when it comes to questions of safety. However, it is not only important that the chosen premises offer sufficient space and security, but also that financial aspects play a role in the decision and other questions, such as: Is there catering on site? How far is the journey for the guests? But the question of atmosphere is also essential at this stage. For example, whether the company party takes place on the company premises or externally, indoors or outdoors, in a hall or in a castle - all this makes a big difference to the atmosphere. The premises are therefore one of the most important factors when it comes to creating the desired atmosphere at the event. A consultation as well as a visit in advance can therefore be worthwhile, especially for larger events.

Colour sample

Once the cornerstones of the event are in place, the details can be planned. Many different aspects have an impact on the atmosphere. One of these is the colour scheme or the decoration in general. Here, you should not save in the wrong place, because the right decoration can transform any location, no matter how simple, into a breathtaking venue that will be positively remembered. A motto can have a reinforcing effect, but is not a must. Likewise, the colour scheme can correspond to the corporate identity of the company, but it is primarily important that it is adapted to the occasion, as well as to aesthetic aspects. The main thing is that it fits the location and the desired atmosphere. For example, a golden theme can be chosen for the upscale Christmas party in the castle, whereas bright colours tend to predominate at the outdoor family party with children.

Invitations

Planning the decoration and thus also the colour pattern early on is important for another reason: it can be used for the invitations at the same time. They represent, so to speak, the first contact between the employees and the planned event. The design as well as the wording of the invitation thus determines the expectations with which the guests come to the company celebration. These expectations should of course be fulfilled in order to convince a positive mood and also to profit from the event afterwards, for example through higher employee loyalty. Instead of an impersonal e-mail, it can therefore be worthwhile to invest in a personal invitation "to touch", which awakens anticipation or generates excitement and which can be hung up by the employees at home; as a constant reminder, so to speak. It is important to ensure that the wording is personal and to give a realistic impression of what guests can expect at the event. Investing in professional service providers for the layout, text, etc., whether internally or externally, is therefore worthwhile.

Lighting

On site, two factors play a central role in the atmosphere at the company party: the music and the lighting. The latter creates the basic mood at the event and goes hand in hand with the decoration. Likewise, visuals and acoustics must form a unity, then they can consciously create emotions and thus evoke the desired mood in the guests. A professional lighting technician is therefore also an important investment for every company celebration - regardless of whether the mood is to be exuberant or rather calm. He can answer questions such as: What kind of light should be used, when, in what colour and from which direction? If a party atmosphere is (also) to be created at the company party, additional lighting effects can be used to match the music. It is therefore important to plan the lighting at an early stage and hand in hand with the acoustics so that the company party is a complete success in terms of atmosphere.

Music

Besides the premises and their design, music is probably the most important mood-setter at any event, even in a corporate context. A celebration without background music is unthinkable, but it can take many forms. So the music must also fit the event. This means that it can be a gentle background music for an elegant dinner and a lively dance party for a family celebration. In the latter case, a distinction must also be made between a DJ and a band, which provide a different type of entertainment. It is therefore important to select the players specifically and to discuss with them in advance what atmosphere is desired at the company party - and what this means for the selection and volume of the music.

Appreciation

Finally, corporate parties should always be about appreciation. Despite a great atmosphere, it can therefore leave a bad impression not to address the guests personally. It is therefore also gestures such as an opening speech addressed to the employees and expressing gratitude, or small gifts, which round off the optimal atmosphere at a company event. Furthermore, there can be games as well as entertainment for different age groups so that boredom does not arise, as it is one of the most common "mood killers" at events of any kind. But this is not the end of the list of factors that influence the atmosphere at a corporate party, and this is exactly why it is so important to consult experienced professionals in this regard, so that the investment is actually worthwhile.
